Orion AI ("Orion", "we", "us", "our") is an artificial intelligence business assistant platform developed and operated by Orion AI Ltd, based in Ghana, West Africa. We provide AI-powered voice agents, camera monitoring, booking management and business analytics services to organisations in the health and hospitality industries worldwide. We collect information you provide directly when you register an account, complete onboarding, or contact us. This includes your full name, email address, phone number, business name, business address, and payment information. We also collect information about your business operations including services offered, opening hours, staff contacts and escalation protocols that you provide to configure your Orion AI assistant. When Orion handles calls on your behalf, we collect call recordings, transcripts, booking details and customer interaction data. We automatically collect usage data including log files, IP addresses, browser type, device information, pages visited and features used. We use cookies and similar tracking technologies as described in our Cookie Policy.
We use your information to provide, maintain and improve the Orion platform and your AI assistant. We use it to process payments and manage your subscription, send transactional emails including call summaries, booking confirmations and reports, provide customer support, monitor system performance and security, comply with legal obligations, and communicate product updates and relevant offers. We do not sell your personal data to third parties. We do not use your business data or customer call data to train our general AI models.
We share your information with trusted third-party service providers who help us operate the platform. These include Supabase for database and authentication services, Vapi for voice call infrastructure, ElevenLabs for voice synthesis, Anthropic for AI processing, Resend for email delivery, Paystack and Stripe for payment processing, Google for calendar integration, and Sentry for error monitoring. Each provider is bound by their own privacy policy and data processing agreements. We may disclose your information if required by law, court order or government authority. In the event of a merger, acquisition or sale of assets, your data may be transferred to the acquiring entity.
When Orion handles calls on behalf of your business, those calls may be recorded and transcribed for quality assurance, analytics and to generate call summaries. Call recordings and transcripts are stored securely and are accessible only to you through your dashboard. Callers are notified that their call may be recorded through Orion's standard greeting. You may disable call recording at any time through your dashboard settings. We retain call recordings for 90 days by default, after which they are automatically deleted unless you have downloaded them.
If you use Orion's camera monitoring feature, video frames are analysed in real time by our AI vision system. We do not store continuous video footage. Only still frames that trigger an alert are saved, along with the alert details and timestamp. Camera alert data is retained for 30 days. All camera data is encrypted in transit and at rest. You retain full ownership of any camera data associated with your account.
We retain your account data for as long as your account is active. If you cancel your account, we retain your data for 30 days to allow for reactivation, after which it is permanently deleted. Call recordings are retained for 90 days. Camera alert frames are retained for 30 days. Email logs are retained for 12 months. You may request immediate deletion of your data at any time through the GDPR deletion feature in your dashboard or by contacting us at privacy@orionai360.com.
Depending on your location, you may have the following rights regarding your personal data: the right to access a copy of the personal data we hold about you, the right to correct inaccurate or incomplete data, the right to request deletion of your personal data, the right to restrict or object to processing of your data, the right to data portability, and the right to withdraw consent at any time. We implement industry-standard security measures to protect your data. All data is encrypted in transit using TLS and at rest using AES-256 encryption. We use Supabase Row Level Security to ensure strict data isolation between accounts. Access to production systems is restricted to authorised personnel only. We conduct regular security audits and monitor for unusual activity using Sentry. Despite these measures, no system is completely immune to security risks. We use essential cookies to maintain your session and authentication state. We use analytics cookies to understand how users interact with our platform so we can improve it. We do not use advertising cookies or share cookie data with advertising networks. You may disable non-essential cookies through your browser settings, though this may affect platform functionality. Orion is built on global cloud infrastructure. Your data may be processed in the United States, European Union or other countries where our service providers operate. We ensure all international data transfers are protected by appropriate safeguards including standard contractual clauses and data processing agreements in compliance with applicable data protection laws.
Orion is a business platform intended for use by organisations and adults aged 18 and over. We do not knowingly collect personal data from children under 18. If you believe a child has provided us with personal data, please contact us immediately at privacy@orionai360.com and we will delete it promptly.
We may update this Privacy Policy from time to time. We will notify you of significant changes by email and by displaying a notice on our platform. The date of the most recent update is shown at the top of this page. Continued use of the platform after changes constitutes acceptance of the updated policy.
